Specialised business modules

Quotes, field visits and documents handled inside the chat

Turn on only the modules your business needs: quotes and projects, wholesale, technician dispatch, documents and consent, listings, donations and a safe stop on risky messages. Customers do it all in the chat, and your team follows up in the panel.

Recorded from the real app, with a sample business's data.

Approval with an e-signature
The customer approves the quote or contract by typing their full name and ticking consent, on the page or in the chat, and a consent record is kept. A paper approval can be recorded in the panel.
Price tiers and quantity breaks
Create tiers such as «Distributor» or «Contractor» with a discount, and give each company its own prices: a fixed price or a percent off per item, variant or category from a set quantity. The lowest price applies to every catalogue line.
Live technician location, with consent
The technician turns on location sharing with their consent and the customer sees them move on a map. Sharing stops on arrival and positions are deleted after the visit.
Encrypted document vault
Sensitive documents (or all of them, your choice) are encrypted with AES-256; the key is kept outside the database and sealed with this computer's secure key store. ID numbers are encrypted and only the last 4 digits show.

Quotes and projects

Approval with an e-signature

The customer approves the quote or contract by typing their full name and ticking consent, on the page or in the chat, and a consent record is kept. A paper approval can be recorded in the panel.

  • Sign a quote or a contract
  • Signing by typing the full name in the chat can be switched off

Quote requests with photos and sizes

The customer's answers, photos, files and measurements from the chat arrive together as one quote request in the team's inbox, ready to price or to book a site visit.

  • A ticket opens for the team when a request arrives
  • Close or reopen a request
  • Your trade's journeys that collect a price request, estimate, measurements or a brief become a request even without a quote step
  • Team notes on each request

Line-by-line quote builder

Add lines from your catalogue or free lines, with units, quantities, a discount per line and on the whole quote (percent or amount), sections, and VAT-exempt lines.

  • Line total = quantity × unit price − line discount
  • Quote discount: percent or fixed amount
  • Duplicate a quote
  • Quote and request numbers with your own prefixes (default R, Q, P, CO)

Quote versions with changes shown

Every sent version is frozen; editing starts the next version, and the customer sees what changed since the previous one.

Validity and expiry reminder

Each quote has a validity date; the customer gets one reminder the day before it ends, then the quote expires on its own.

  • Default validity 14 days (1–365)
  • The reminder can be switched off

Quote page and printable copy

The customer opens the quote on the phone: lines, discount, VAT, total, payment plan, validity and terms. The same page prints on A4 or saves as PDF from the browser.

  • Persian, Arabic and English, right-to-left or left-to-right
  • Dates in your business calendar

Decline or ask for a change

The customer can decline with a reason or ask for a change; their next message is recorded as the change and the quote goes back to the team.

Deposit and milestone payments

After approval the project gets a payment plan: deposit and balance, full payment, or three steps. The deposit is asked for right away, with a reminder if unpaid.

  • Default deposit 50%
  • Payment reminder after 24 hours (0–168)
  • Mark a step paid or waived, or undo it, in the panel
  • Payment through the app's standard payment request or the Payments+ module

A payment plan for each quote

Set up to 12 payment steps per quote, each with its own title, percentage and due date. The last step takes what is left, so the plan always adds up to 100%.

  • Step kinds: deposit, milestone, balance
  • First delivery date 5 days after the start by default (0–365)
  • The deposit is asked for right after approval, or later by a journey step

Progress updates with photos

Each progress update with text, a percentage and photos goes to the customer and stays on their project page; outside the 24-hour window it goes with their next message.

  • Project page: progress, steps and payments, updates, change orders, review

Previews and revision rounds

Send a preview for approval; the customer approves or asks for changes. Each project has a set number of revision rounds and their use is counted.

  • Default 2 revision rounds per project
  • When the included rounds are used up, the next change request is flagged to the team as an extra (paid) round
  • Add or take back a round by hand in the panel

Change orders

Record extra work with its lines, price and effect on the deadline; the customer approves or declines it in the chat or on the project page.

Handover, balance and review

At the end a handover note with files is sent, the balance is requested and the customer rates 1 to 5 stars; you can also send your own review page link.

Project status and work steps

Each project has a clear status: waiting for deposit, active, on hold, handover, completed or cancelled. Each step is marked to do, in progress or done, and progress updates from it.

  • Start and due dates, notes
  • A project can also be opened from the panel without a quote
  • Cancel a project from the panel

VAT on quotes

Your country's VAT rate is applied automatically once your tax number is set, or you set the rate yourself; prices can be entered with or without VAT.

  • Country rate comes from the Payments+ module when it is on
  • Prices without VAT or including VAT

Advanced payments

Line and terms templates

Write your usual lines and terms once in Persian, Arabic and English and reuse them in every quote.

Know when the quote was opened

When the customer opens the quote page, it is marked as seen in the list and noted in the customer's history.

A fresh quote after expiry

If the customer asks for a change or a new price on an expired quote, the request reaches the team as a ticket and the team sends the next version.

Site visits and measurements

Schedule a site visit from the quote request; when the booking module is on, the visit is linked to a booking.

  • Visit status: planned, done or cancelled, with notes on what was found

Appointments

«My quote» in the chat

The customer types «my quote» or «project status», or uses the menu, to see their quote and project, pay, approve previews or leave a rating.

Ready steps for automated journeys

The journey builder has ready quote and project steps: send the quote (waiting for the team), send the contract and wait for the signature, create the project, request a milestone payment, send progress, hand over.

  • Steps: send quote, send contract, create project, create quote request, wait for the decision, request a milestone payment, send progress, handover, use a revision round
  • Branch on: quote status (draft, sent, accepted, declined, expired), revision rounds left
  • Follow-up reminders stop once the quote is answered
  • More branches: has a project, project status, progress, balance due, quote total

Quote figures and customer file

The dashboard shows new requests, drafts, quotes awaiting an answer, the 30-day win rate, the value of open quotes and payments due; all of it also appears in the customer file and the panel search.

  • Figures: new requests, drafts, awaiting an answer, change requests, active projects, 30-day win rate, value of open quotes, payments due
  • Customer file tab «Quotes & projects»
  • Search by reference, name, phone or title
  • «Delete my data» removes the person's requests, quotes, projects, visits and change orders
  • Team tickets: new request, quote accepted or declined, change asked, preview approved or changes asked, change order decided, low rating
  • The customer moves to the matching stage of your sales pipeline on their own
  • Test conversations are hidden from the lists unless you ask for them

B2B and wholesale

Price tiers and quantity breaks

Create tiers such as «Distributor» or «Contractor» with a discount, and give each company its own prices: a fixed price or a percent off per item, variant or category from a set quantity. The lowest price applies to every catalogue line.

  • Rules per tier or per company
  • Per item, variant, category or for everything
  • Quantity breaks

Shop and catalogue

Company accounts for buyers

Each buyer company has its legal and trade name, trade licence, tax number, billing and delivery addresses, contacts and account manager. A company name given in the chat opens a pending account automatically.

  • Contacts linked to their chats, one marked as primary
  • Trade licence number, issuing authority and expiry
  • Each contact can be allowed to order for the company or not
  • Add or remove contacts in the panel

Company verification

The trade licence, tax certificate and signatory's ID are requested by a secure link, and the team verifies, rejects or suspends. The buyer can edit their details on the account page until verified.

  • Statuses: draft, pending, verified, rejected, suspended
  • Uses the Documents module's secure upload when it is on; otherwise the team checks
  • Trade prices for unverified accounts can be switched on or off

Document collection

Minimum order quantities

Set a minimum quantity and order steps per item, category or service. The catalogue raises a lower quantity with a clear note and the quote request form refuses less.

  • Minimums with order steps (multiples) and a unit
  • A journey can branch when the order is below the minimum
  • A minimum can apply to everyone or only to business accounts
  • Service minimums are found from the words in the request

Shop and catalogue

Requests for quotation by chat or form

The buyer types the lines in the chat (e.g. «50 x cement bags») or fills the request form with items, quantities, units, needed-by date and delivery. The team prices it, with a suggested trade price per line, as a quote or a pro-forma.

  • The request form link is valid 14 days by default
  • Becomes a quote in the Quotes & projects module when it is on
  • Statuses: open, submitted, being priced, quoted, accepted, ordered, declined, cancelled, expired
  • Team note on each request

Tax invoices with the buyer's tax number

Tax invoices carry the buyer's tax number, VAT and a due date. Part payments are recorded in the panel and an invoice can be voided.

  • Your own number prefix (default INV)
  • With the Payments+ module on, that module issues the legal document and its numbering
  • Seller's legal name, tax number, address and bank details on every invoice

Advanced payments

Write pro-formas and invoices in the panel

Staff write a pro-forma or tax invoice for any company with lines at that company's prices, set the payment terms and send it to the buyer's chat. A quote request turns into a pro-forma with one click.

  • Accept a pro-forma for the buyer in the panel
  • Record a payment with its method and reference
  • Invoice statuses shown in the list

  • Reminders by default 3 days before, on the day and 7 days after

The buyer sees their last orders as buttons and places one again at today's account prices, with the minimums respected.

  • Chat words such as «reorder», «سفارش مجدد», «إعادة الطلب»

Shop and catalogue

Tax number format check

The buyer's tax number is checked against each country's format so a wrong number never lands on an invoice.

  • UAE: 15 digits
  • Saudi Arabia: 15 digits starting and ending with 3
  • Bahrain: 15 digits
  • Oman: OM + 10 digits
  • Iran: 11 or 12 digits

  • EU and UK: country prefix + 2–13 characters

«Business account», «Request a quote» and «Reorder» are in the menu and answer keywords; the buyer sees status, credit and what is open.

Team alerts for trade events

A ticket opens for anything that needs the team: a new account to verify, a new quote request, an order on account, a paid or declined pro-forma, and credit put on hold for overdue money.

  • Can be switched off

  • Position every 20 seconds by default
  • Marked arrived automatically within 150 m
  • Map from OpenStreetMap

Service areas and travel fees

Define where you work by a radius around a point, a shape drawn on the map, city and area names or postal-code prefixes, each with a travel fee and time. The customer's address is checked automatically.

  • Test any address against your areas in the panel
  • Addresses outside the area or unclear take their own path in a journey

On-site jobs from bookings and chats

Home-visit bookings and journeys that collected an address become dispatchable jobs automatically; jobs can also come from the panel or recurring plans.

  • From bookings: automatic, all, or off
  • Normal or urgent priority

Appointments

Each technician has a private link: today's jobs, navigation, call, status buttons, checklist, photos, parts, notes, customer sign-off and payment or cash.

  • Navigation in Google Maps, Apple Maps or Waze
  • No login; the link can be renewed
  • The technician can also open another day's jobs

«On the way» notice with arrival time

  • Notices: assigned (off by default), on the way, arrived, completed, visit reminder
  • Default arrival window 60 minutes
  • Outside 24 hours: a WhatsApp template, or held and sent with the customer's next message only if still true

  • Starter checklists for your trade
  • Signature and photos can be made required

Visit payment or cash on site

The visit is paid through a payment request in the chat, or the technician records cash or card taken on site.

  • Amount due = service price + travel fee + parts − what is already paid
  • Card, cash or other, recorded by the technician or the team

Recurring visits

Create weekly, every-two-weeks or monthly plans and jobs are created automatically. The customer can skip, pause or resume from the chat or the visit page.

  • Monthly days follow your business calendar (Solar Hijri, Hijri or Gregorian)
  • Pause until a date, resume, end
  • Jobs are created up to 21 days ahead (1–90)
  • Clashes with working hours, days off or other bookings are flagged on the job

Memberships and subscriptions

Every job follows set stages, and each change is logged with its time and who made it.

  • Scheduled → assigned → on the way → arrived → in progress → completed
  • Or: follow-up needed, cancelled

Dispatch alerts for the team

A ticket opens for a new visit without a technician, an urgent request, an address outside your service area and a job that needs a follow-up.

  • Can be switched off

The customer asks «where is the technician» or «when will you arrive» and gets the visit status, time, technician and tracking link.

  • Default length of a viewing 45 minutes (10–600)
