Customers and sales

One profile per customer, one column per stage

A customer who wrote from several apps has one profile. Sales stage, tags, tasks and notes live in that profile.

Recorded from the real app, with a sample business's data.

Sales board
Move customers between stages by dragging a card.
Tasks and follow-up
Tasks with a due date, an owner and a reminder; automatic after-service follow-up.

One file per customer

One customer across all apps

When the same person writes on Instagram and on Telegram or WhatsApp, their files are joined and the panel shows one customer; stage, tags, details, responsible member and consent stay the same everywhere, and the chats from every app appear together in time order.

  • Instagram, Telegram and WhatsApp
  • Each message is marked with the app it came from
  • The customer list shows one row per person with the icons of their apps

A file for every person

Anyone who messages you on Instagram, Telegram or WhatsApp, or fills a form, gets a file with its own number automatically: conversation, forms, media, notes, payments and timeline in one place.

  • Case numbers look like C-XXXXXX
  • Test customers from the simulator are kept apart and hidden by default

Suggested matches to merge

When two files share a phone number or an e-mail, the customer page suggests joining them; one click and a confirmation make them one customer.

  • The last 9 digits of the phone are compared, so a +98 or 0 prefix does not matter
  • Persian and Arabic digits are read as numbers
  • E-mail is compared without regard to capital letters
  • The reason is shown: same phone or same e-mail

Customer page with clear tabs

Each customer page has Overview, Conversation, Timeline, Forms, Media, Notes and Automations tabs with a count next to each; installed modules add tabs of their own.

  • Overview: chat details, tags, pinned notes, latest form answers, payments and recent events
  • Conversation tab: reply or send a file from the library right there
  • Forms tab: every submitted version and the form links with sent, opened and submitted times
  • Automations tab: every automation that ran for this person

The customer's Instagram profile

Name, username and earlier usernames, whether they follow your page, and follower count come into the file automatically, and the profile picture is saved on this computer so it stays visible later.

  • Refreshed at most once a day while the person is active
  • Follows and unfollows are written to the timeline
  • A manual refresh button on the file
  • Instagram only

A full timeline per customer

Every important event is logged on the timeline with the time and who did it (customer, bot, team or system): stage and tag changes, forms, payments, tickets, notes, assignments and more.

  • Event types: new customer, stage, tags, form sent, opened and submitted, payment, ticket, consent, media, note, username change, follow, automation, hand-off, merge, assignment, task
  • Shows the latest 300 events from all of the person's apps
  • Recent events also appear on the Overview tab

Private team notes

Write notes on each customer's file that the customer never sees; pin an important one so it stays on the overview. The author's name is saved with each note.

  • Up to 4,000 characters per note
  • Pin, unpin and delete (deletions are logged)
  • Notes from all of the person's apps are shown together

Colour tags in three languages

Type a tag on a file and press Enter; tags have colours and names in Persian, Arabic and English, and the Stages & tags page shows how many customers carry each one, with edit and delete.

  • 11 colours
  • Deleting a tag you made removes it from every customer
  • Filter the customer list by tag
  • A tag typed in any language is matched to the same tag
  • Create a new tag with its colour on the Stages & tags page, and search the tag list
  • Tags the app sets itself can be renamed but not deleted

Merge without losing data

When joining, the main file's details are kept and gaps are filled from the other; all tags are combined, the furthest stage is kept and follow-up tasks move with the customer. You can split them again whenever needed.

  • The earliest first-seen date and the first source are kept
  • Consent dates are kept
  • A test file cannot be joined with a real customer
  • Merge and split are written to the timeline and the activity log
  • A split file keeps its own copy of the shared details

Quick actions on the file

From the top of the file you can change the stage, open the chat, take it over from the bot or hand it back, message the customer on WhatsApp with one button and close an open ticket.

  • The WhatsApp button appears when a phone number is known
  • Badges: follows you or not, chat with the team, unsubscribed, test
  • Open tickets show in a banner with their state: team's turn or waiting for the customer

Automatic tags

The app adds useful tags on its own, such as form complete or asked for the team, and tags the customer's style from their own messages, for example upset, short writer or prefers voice.

  • App tags: form complete, photos pending, asked for a person, lead, from a comment, order inquiry, package bought
  • Style tags: upset, short replies, wants detail, formal, prefers voice

Separate a wrongly joined file

If two files were joined by mistake, tap «Separate» next to that app on the customer page; it gets its own file back with a copy of the shared details.

  • Asks for confirmation first
  • If the main file leaves, the next one becomes the main file and keeps the follow-up tasks
  • Written to the timeline and the activity log

Sales pipeline and lead score

Drag-and-drop sales board

Each stage is a column and each customer a card; drag a card to another column to change the stage. The card shows score, responsible member, tags, next task and last activity.

  • Switch between pipelines
  • Filter by responsible member and by hot, warm or cold
  • Up to 60 cards per column, then «and N more» with the full list one click away
  • The apps the person uses show as icons on the card
  • Tap a card to open the customer file

Lead score with the reason

Every customer gets a score from 0 to 100 shown as hot, warm or cold; under it you see why: recency, messages, form, contact details, stage and payment.

  • Hot from 60, warm from 30, cold below 30
  • Recency up to 20 points, messages in the last 30 days up to 15, submitted form 20 (unfinished form 8), phone 8 and e-mail 4, stage up to 22, confirmed payment 10, open request 5
  • A lost customer is capped at 15; an unsubscribed customer scores 0
  • Recalculated automatically every few minutes for active customers
  • Sort the customer list by highest score

Suggested next step

Each customer file says what is needed now, such as «submitted the form, call them» or «a payment is pending, remind them»; one button turns it into a follow-up task with a fitting due time and priority.

  • Checked in this order: waiting for the team's reply, an overdue task, a pending payment, a form just submitted, a form left unfinished or unopened, a hot lead quiet for 2 days, a warm lead quiet for a week, no phone or e-mail yet, a finished job worth a repeat purchase

Where each customer came from

Each customer's first and latest way in is recorded: direct message, post comment, story reply or mention, tracking link, ad, form or automation, with the app and time; filter the customer list by source too.

  • The ad number and the tracking-link name are shown when known
  • A comment on a post up to 3 days before the first message counts as the source
  • The first source is kept for good; the latest is updated when it is more than a plain message
  • The source is a column in the CSV export

Sales pipelines with your own stages

Create one or more sales pipelines and set their stages with names in three languages, colours and your own order; each stage has a standard type so reports work for any trade.

  • Standard types: New, Qualified, Quoted, Scheduled, Awaiting payment, Won, In progress, Done, Repeat, Lost
  • Choose the default pipeline
  • Move stages up or down to change their order
  • Trade packs and modules add their own ready pipelines; your later edits are kept
  • The customer count is shown for each stage
  • With a trade pack installed, new customers start at the first stage of its pipeline

Alert when a lead turns hot

As soon as a customer's score turns hot, their responsible member (or the whole team) is told with the name and score; switch it on or off in the follow-up settings.

  • On by default
  • Not sent for test customers

A ready pipeline from day one

Without any setup you have a ready sales pipeline, and customers move along it on their own as they chat, fill a form and pay: from «New» to «Customer».

  • Stages: New, In conversation, Qualified, Form sent, Form in progress, Form completed, Customer, Lost
  • A first conversation moves the customer to «In conversation»; sending, starting and completing a form move the matching stages
  • A confirmed payment moves the customer to «Customer»

Change stages without losing customers

A stage that has customers can be deleted only after moving them to another stage; the default pipeline, a pipeline in use and the last stage of a pipeline cannot be deleted.

Automatic moves only go forward

When an automation or a form moves a customer, it only moves them forward, and a new message never pulls them back to an earlier stage; your manual changes can go either way.

  • Every stage change is written to the timeline
  • A customer keeps the same stage on all of their apps

Customer list and follow-up tasks

Follow-up tasks with due time and owner

Create a follow-up task for any customer, such as a call, message, meeting or payment follow-up, with a due time and a responsible member; the Tasks page shows today's, overdue, all open and done tasks separately with counts.

  • Task types: to-do, call, message, meeting, payment, follow-up
  • Automatic tasks carry a priority (low, normal, high); high is marked on the list
  • Add from the customer file, or from the Tasks page by picking the customer
  • Tick to mark done; untick to reopen
  • A «Mine» filter for each member
  • The overdue count shows in red on the menu
  • Flows and the automatic follow-up can create tasks too
  • The customer's next open task shows on the customer list and the sales board

Customer list with full filters

The customer list has one row per person with score, responsible member, next task, form status, media count, tags and last activity; filter by stage, tag, member, hot or cold, source, app and today's or overdue tasks.

  • Sort by last activity, highest score, newest customer or name
  • Responsible filter: everyone, mine, nobody, or one member
  • Search by name, current or earlier username, case number, phone, e-mail, city or tag
  • Customer count per stage on the stage buttons
  • Loads 100 at a time with a «more» button
  • Show or hide test customers

Saved views

Save a set of filters you use often, such as «hot leads from Instagram», under a name and return to it in one click; each colleague keeps their own views.

  • Saves search, stage, tag, responsible member, temperature, source, app, tasks and sort order
  • Tap a saved view again to clear it; deleting asks for confirmation

Customer list export for Excel

Download the customer list, with the filters you chose, as a CSV file that opens in Excel with Persian and Arabic shown correctly; it includes name, phone, e-mail, city, stage, tags, score, responsible member, source and next task.

  • Up to 10,000 customers per file
  • Also includes the apps, first seen, last activity and the other form fields
  • Sensitive fields are never exported
  • Every export is recorded in the activity log
  • Cells are made safe so a spreadsheet never runs them as formulas

Due and overdue reminders

At each task's due time its owner is alerted, and if it is still not done an hour later an «overdue» alert follows, in the panel, on Telegram and in the phone app.

  • Assigning a task to someone else alerts them at once

A «call them» task after each form

Whenever a customer completes a form, a high-priority «call them» task is created for their responsible member, with an alert; you choose the due time or switch it off.

  • Due in 1, 2, 4, 8, 24 or 48 hours, or off; default 4 hours
  • Only one open task per form, so repeated submissions do not pile up
  • Due in 4 hours by default (0–720 hours; 0 = no task)
  • One open task per form per customer
  • Alert via staff Telegram, WhatsApp or the phone app

Win customers back before it is too late

Alert before the 24-hour window closes

If a customer's message on Instagram or WhatsApp is still unanswered with less than 3 hours left of the 24-hour window, the team gets an urgent alert and their ticket is raised to high, so you reply in time.

  • One alert per waiting message
  • For Instagram the alert adds that the team can still answer from the panel for 7 days
  • the 24-hour reply window closes in a few hours and the customer has no reply yet
  • a payment open for a day (a follow-up task is made)
  • a lead quiet for some days without buying (a follow-up task is made)
  • an unpaid order will be cancelled soon while the chat is with the team
  • a customer saw the prices and went quiet while the chat is with the team
  • a planned follow-up could not reach the customer because the window closed (a task is made)

Automatic follow-up with one switch

The app watches that no customer slips away: it tells the team in time and sends the customer a few short, helpful messages in their own language. One switch in Settings turns it all on or off; it is on by default.

  • Checks every 5 minutes
  • Customer messages go out only inside the app's free reply window

A nudge when prices are followed by silence

A customer who saw the prices and went quiet gets a short message with «choose» and «talk to the team» buttons about 2 hours later and a last note about 20 hours later; if they reply or the chat is with the team, nothing is sent.

  • Instagram, WhatsApp and Telegram
  • When the chat is with the team, the team is told instead of messaging the customer
  • Several wordings so it does not feel automatic

Task for a quiet warm lead

If a warm or hot lead has been quiet for 3 days and has not bought yet, a follow-up task is created for their responsible member with an alert; never a second one while a task is open.

  • Counts customers with a score of 30 or more still in an open stage
  • Hot leads get high priority
  • Due at the business's next opening time

Polite follow-up, never pushy

Automatic messages are not sent between 22:00 and 08:00 and wait for the morning; each customer gets at most 2 automatic messages a day and 4 a week, and everything stops when they reply or ask to stop.

  • The limits count every automatic message together: follow-ups, form reminders, pack follow-ups and payment reminders
  • Uses the business time zone
  • A chat a team member is handling is never messaged automatically
  • Quiet hours 22:00–08:00 business time
  • At most 2 automatic nudges a day and 4 a week per person, all sources together

Hand-off to the team and tickets

The team's ticket queue

Every request that needs a person becomes a ticket, and the Tickets page lists them by whose turn it is, priority and waiting time; each person has only one open ticket and new reasons are added to it.

  • Sources: asked for the team, assistant hand-off, bot error, safety review, payment review, flow, manual
  • Priority: urgent, high, normal, low; a new reason can only raise it
  • Status: team's turn, waiting for the customer, closed
  • Waiting time is shown; over 2 hours is marked in red
  • The reopen count is shown
  • Filters: active, team's turn, waiting for the customer, closed
  • The Reply button opens the customer's conversation

Tickets update themselves

When the team answers, the ticket becomes «waiting for the customer»; when the customer writes again it is the team's turn again. After 7 days without a customer reply it closes itself, and closing a ticket hands the chat back to the assistant.

  • The time of the team's first reply is kept
  • Opening, reopening and closing are written to the timeline

One alert and one reminder, not a flood

When a customer starts waiting for the team, one alert arrives with their name, app and last message, and one reminder if nobody answers within 15 minutes; more messages in the same turn do not create new alerts.

  • Goes to the responsible member, or to the whole team when nobody is responsible
  • No alerts for test customers

Close, reopen and prioritise tickets

On the Tickets page close a ticket with «Solved», reopen a closed one and change its priority right in its row; an open ticket also shows at the top of the customer's file with a close button.

  • Closing a ticket hands the chat back to the assistant
  • The number of tickets waiting for the team shows on the menu
  • Test customers' tickets are hidden unless you choose to show them

Team members and responsibility

An account for every colleague

Create a login for each colleague so you know who did what; there are three roles: Owner has everything, Staff does the daily work without settings, and View only sees everything but changes nothing.

  • Staff: conversations, customers, tickets, payments, flows, automations, forms and content
  • Staff cannot change settings, channels, AI keys, modules, the follow-up settings or where payments are received
  • Staff and View only cannot see security, backups, users or the activity log
  • New members get a temporary password they must change at first sign-in
  • Change role, disable, reset password or remove a member; the last owner cannot be removed
  • The activity log records each member by name
  • A new account starts with a temporary password the colleague must change
  • At least one active owner always remains

A responsible member per customer

Pick the responsible member on each customer's file; that customer's alerts go to them, a colleague sees only their own customers with the «Mine» filter, and the assignment is logged on the timeline.

  • The member is alerted when a customer is assigned to them
  • Applies to all apps of the same person
  • New tasks go to the customer's responsible member by default
  • Tapping «I'll answer» on a Telegram alert makes that member responsible

New customers shared in turn

With «in turn among the team» on, each new customer is assigned automatically to the next member, so work is shared fairly.

  • Needs at least 2 active members
  • View-only and disabled accounts are skipped
  • Test customers are not assigned

Team follow-up settings in one card

On the Tasks page the owner has every follow-up setting in one place: the due time of the «call them» task after a form, sharing customers in turn, the hot-lead alert, Telegram alerts and the personal WhatsApp alert; each change is saved at once.

  • Owner only; staff see only their own Telegram link there

Team alerts in the panel and on the phone

Reply to customers from Telegram

Tap Reply on a Telegram alert and type; your text goes to that customer on Instagram, WhatsApp or Telegram as the team's answer, and the bot stays quiet while you are in the chat.

  • Text only for now; send photos and files from the panel
  • Not possible once the app's 24-hour reply window has closed; you are told so
  • A pending draft for that customer is replaced by your answer
  • A confirmation «sent to …» comes back

Customer data and privacy

Customer media stays on your computer

Photos, videos, voice notes and files a customer sends are gathered in the Media tab of their file, kept only on this computer, and every time one is opened it is written to the access log.

  • Story mentions are kept too
  • A file the customer deleted is marked as deleted by the customer
  • Viewing profile pictures is not logged
  • Downloaded at once because messenger links expire within minutes
  • A failed download is retried up to 4 more times
  • The same file sent twice is kept once
  • Shared posts and reels are not downloaded
  • Up to 30 MB per file
